How to Automatically Move Emails to a Folder in Outlook

Although there are way too many different email clients today, Outlook is still one of the most used. It is reliable and transparent, but it is sometimes hard to keep track of all the messages. This is especially true if you use Outlook as your primary or even just email client.

Over time, the number of contacts can rack up and you will be left with hundreds of emails in your inbox. Luckily, there is a solution. You can move emails to folders in Outlook and keep them neat and organized.

Move Emails to a Folder in Outlook with a Single Click

Believe it or not, you can organize your Outlook emails with the click of a button. All you need to do is follow these instructions to set up quick steps in Outlook:

  1. Open up Outlook.
  2. Click on Home in the top-left corner of the screen. Choose to Create New in the Quick Steps tab.
  3. This will bring up the Edit Quick Step window. Open the Choose an Action dropdown menu and select Move to Folder.
  4. Click on the Choose folder field and pick a preferable folder.
  5. Then choose Add Action.
  6. Click on the Choose an Action menu followed by Mark as read.
  7. If you like, you can click on the Shortcut key and assign a keyboard button to it.
  8. Click on Finish to save the changes.

How to Use Quick Step

Once you’ve created a quick step that moves emails to a designated folder, you are ready to use it. You can either highlight or open the desired messages or conversations (single or plural) for moving. Choose the action you want to use from the Quick Step group

How to Move Emails from a Single Sender to a Folder in Outlook

There is an alternative method for moving emails to folders in Outlook. This is achieved with rules within Outlook which are easy to set up. First of all, you need a designated folder. Open Outlook, right-click the inbox folder, and choose New Folder.

Move Emails to a Folder in Outlook Versions 2016 and 2019

Follow these steps to move emails from one sender to a folder of your choice:

  1. Open Outlook and then go to an email from the desired sender.
  2. Click on Message, followed by Rules, and then Create Rule.
  3. You will be redirected to the Create Rule window. Choose the From [sender] dialog box.
  4. Check the Move the item to folder check box under the Do the following tab.
  5. Choose the destination folder for the messages coming from this sender within the Rules and Alerts window. If you haven’t prepared a folder, click on New, name it and confirm creation with OK.
  6. When you are finished, click on OK. From now on, all emails from the desired sender will be moved to the folder of your choice.
